Document Setup
To create and manage document templates, navigate to Settings → Document Master and click on Add Document.
Enter the document name, and the system will automatically generate a Slug based on the document name. The slug is used for document data variables and internal referencing.
The Document Setup section provides multiple options to help you create and customize document templates.
1. Document Section
The Document Section allows you to freely design and format your document template using text, tables, and dynamic variables.
You can:
-> Insert variables from:
o Order Details
o Customer Details
o Exporter Details
-> Use the provided dropdown to insert tokens/variables directly into the template.
Descriptions and references for available variables are provided in the Generated Variables section under the Help Guide in Settings.
The editor also supports formatting options such as:
• Bold
• Italic
• Underline
• Text Alignment
• Font Size
• Bullet Points
You can also directly paste or upload HTML code to create custom document templates. Basic editing and variable insertion can still be performed within the editor.
Additionally, signature images can also be added to the document template.
2. Custom Fields
The Custom Fields feature allows you to add additional fields whose values can be filled during document generation.
Available field types include:
• Text
• Number
• HTML
• Date
• Message
• Text Area
This feature is useful when certain values vary from one order or document to another and need to be entered manually at the time of document generation.
3. Print / Paper Settings
The Print/Paper Settings section allows you to configure the print format of the document.
Available options include:
• Plain / Regular Format
• Letterhead Format
• Company Header Format
Plain / Regular Format
Generates the document without any company header and applies only default page margins.
Letterhead Format
Allows you to configure custom header and footer margins according to your company’s pre-printed letterhead paper, making it suitable for physical printing.
Company Header Format
Provides options to display company information directly within the document header, including:
• Company Logo
• Company Name
• Address
• Phone Number / Email
It also includes an optional text area for adding any custom company information if required.
4. Document Number Format
The Document Number Format section helps you create custom document numbering formats based on your company requirements.
You can configure:
• Prefix
• Separator
• Number of Digits
• Date Format
• Number Sequence Format
The system also provides options to include:
• Date
• Month
• Year
• Financial Year
within the document numbering structure for better organization and tracking.
Layout Builder
The Layout Builder helps you organize and structure the overall format of your document template.
It allows you to manage the sequence and positioning of different sections within the document, such as:
• Custom Fields
• Order Summary
• Document Section
• Item Details
• Signature Section
You can easily arrange these sections in the required order and define their placement within the document layout.
Custom Fields Layout
Within the Custom Fields section, you can configure:
• Number of columns for field display
• Positioning of individual custom fields
• Display or hide field headings/labels
This helps in creating a clean and properly aligned document structure.
Document Section Positioning
The Document Section settings allow you to manage the placement of multiple document content sections within the template layout.
You can organize and position these sections according to your preferred document design and formatting requirements.
Signature Integration
The Layout Builder automatically fetches the authorized signatory details and signature image from your company profile and displays them in the designated signature section of the document.
